Minutes of Board of Directors Meeting -- Monday, February 7, 2005

The Ascot Homeowners Association Board of Directors met at the home of Jo and Scott Rackham on the 7th of February, 2005, beginning at 7:30 pm. All five current Board members were present -- Claudia Raffman, Dave Peirce, Anna Wood, Lars Okeson, and Scott Rackham.

Common Grounds Maintenance

Anna Wood will contact Sunrise, the grounds maintenance company that did the mowing and other grounds care work for the Association last year, before the 2005 mowing season starts, and ask them to continue this year under the same basic rates as they offered last year, but with only one round of pruning, rather than two. Their rates in 2004 were quoted for a two-year term.

Tennis Court

Lars Okeson is preparing a write-up of his research on options for repairing the tennis court, as well as his looking into the history of the Ascot tennis court, and on how much the Association has spent on the tennis court and on other expenses over the past seventeen years. Dave Peirce has received an initial estimate from Sunrise on costs of tearing up the tennis court playing surface, removing the fence, and hauling away the debris. The Board aims to have a package of information for distribution to Association members as soon as possible, and will aim to convene a general meeting early in April to vote on the future of the tennis court.

This will be an important meeting, for the purpose of obtaining community agreement on an actionable decision to improve or remove the tennis court. Claudia Raffman has suggested more homeowners may be able to attend if the meeting is held in a home in the community; therefore, if practical, this will be considered. Members will be permitted to vote by proxy.

Architectural Review

The Board reminds homeowners that the developer's declaration of covenants and restrictions require the Association to review architectural changes to homes and other structures in the community. We invite homeowners to contact the Board for architectural review before undertaking remodeling, or erecting new fences or other structures.

Please also remember to keep up the appearance of structures or fences once they are in place. Maintaining the general attractiveness of the neighborhood is in our common interest.

Minutes Approved with Addition

The minutes from the January meeting of the Board were approved with correction of typographical errors. A corrected copy has been posted on the Ascot Web site.

Next Meeting

The next meeting of the Board will be at 7:30 pm on Tuesday, the 8th of March (rescheduled from the 1st of March), at the home of Dunbar and Lars Okeson.
