Ascot Homeowners Association The Ascot Homeowners Association Annual General Meeting was held at The Grange in Great Falls, on the 13th of September, 2004, beginning at 7:40 pm. Members from sixteen Ascot homes attended in person. Fourteen additional members were represented by proxies. Election of Board Members Board President Robert Naftal listed the names of five members who had volunteered to stand for election to serve on the Board for the coming year, and invited further nominations from those present. As there were no nominations from the floor, the list of identified candidates remained the five initial volunteers -- Anna Wood, Claudia Raffman, David Peirce, Lars Okeson, and Scott Rackham. Voting was accomplished by written ballot. The President announced that all five listed volunteers were unanimously elected to serve on the Board of Directors through the next Annual General Meeting, to be held in September, 2005. Division of roles and duties among the new Board members will be decided amongst themselves at their first meeting. Common Grounds Bob Naftal reported that he has been in recent contact with Tony Bansal, the homeowner in Falls Park Estates who wants to have evergreens planted at his expense on Ascot land along Bishopsgate Way behind his house. At the time of the meeting, Bob was waiting to see a proposal from Mr. Bansal's contractor for the intended work clearing off the slope and planting evergreens. Piney Run Fallen Tree With permission from Andy Robinson, President of the Piney Run homeowners association, a volunteer work crew from Ascot went onto the Piney Run common grounds in August and September and cut back the fallen tree so that its cut limbs no longer protrude over the fence and are not so noticeable as before. Tennis Court Lars Okeson reported that repair work for the tennis court, for which $1200 had been budgeted, had not yet been contracted for this year. The contractor who has done the work in recent years quoted $2000 for this year's work. Lars asked if it might make sense, this late in the season, to delay the repairs until next spring. Other homeowners suggested that leaving the cracks unrepaired through the winter might make them more difficult to repair, and advised that the Board go back to the contractor and get done as much as we can for the amount that has been budgeted. Budget Lars also reviewed this year's year-to-date budget performance. The Board this year invested more into sprucing up the common grounds than had been budgeted, but saved in other areas and also took in somewhat more than had been anticipated from the sale of homeowners information packets. The anticipated net budget deficit of about three hundred dollars is covered by the Association's general reserve fund. A copy of the budget spreadsheet Lars distributed at the meeting has been posted on the Ascot Web site at www.ascotwalk.org. Any Ascot homeowner who would like a printed copy of the spreadsheet can contact Lars or Scott to ask for one. It was noted that one of the savings this year has been on legal expenses, as Bob Naftal has been acting as the Association's registered agent at no charge. Bob has also volunteered to continue in that role during the coming year. Fall Picnic At the meeting, there was no new word from the organizers of a possible September community picnic. Sounia Chaney, who was the principal organizer, had been away for the past several weeks. Bob Naftal noted that the Board at its August meeting voted to contribute up to $200 toward the cost of a community picnic. -- Following the general meeting, Sounia did organize an enjoyable multi-neighborhood picnic held on Sunday, the 26th of September. Next Board Meeting Following the meeting, the Board members elected for the next term agreed to hold their first meeting on Tuesday evening, the 12th of October, beginning at 8:00 pm, at the home of Jo and Scott Rackham.
