Minutes of Board of Directors Meeting -- Monday, August 9, 2004

The Ascot Homeowners Association Board of Directors met at the home of Alice and Terry Burns on the 9th of August, 2004, beginning at 7:15 pm. Bob Naftal, Alice Burns, and Scott Rackham attended the meeting.

Common Grounds

Tony Bansal, homeowner in Falls Park Estates, has advised the Ascot Board that he remains interested in arranging for evergreens to be planted at his expense on Ascot land along Bishopsgate Way behind his house. Board members are working to write up an agreement with him that will permit the plantings but protect Ascot property rights.

Piney Run Fallen Trees

Andy Robinson, President of the Piney Run homeowners association, has advised the Ascot Board that the Piney Run homeowners association looked at the clean up cost estimates that Ascot had provided, and decided against putting any money into cleaning up the fallen trees at this time.

Ascot Board members have decided to try a more modest approach. Scott Rackham will contact Mr. Robinson and ask permission of the Piney Run board for Ascot volunteers to go onto the Piney Run common grounds and try trimming back the fallen tree a little farther from the fenceline, hopefully to make the fallen limbs less noticeable.

Fall Picnic

There was no new word from the organizers of a possible September community picnic.

Annual General Meeting and Election of new Board Scheduled for the 13th of September

As noted in the July minutes, the date for the Ascot Homeowners Asssociation annual general meeting and election of new Board members has been set for Monday, the 13th of September, at 7:30 PM, at the Grange in Great Falls. In addition to the election of new Board members, on the agenda will be discussion of the future of the tennis court, and such other matters as may be raised from the floor. Required quorum for the meeting is 20% of the members (14 members), present in person or represented by proxy. A proxy form will be distributed with these minutes.

The slate of candidates for election to the Board is not yet complete. The Board asks that any Ascot homeowner willing to serve on the Ascot Homeowners Association Board of Directors for the coming year please contact a current Board member to have your name added to the ballot for the September election of Board members. Candidates may also be nominated at the General Meeting.

Minutes Approved

The minutes for the July meeting of the Board were approved as published.

Next Meeting

The Board will next meet at the annual general meeting of the Ascot Homeowners Association, scheduled for 7:30 PM on Monday, the 13th of September, at the Great Falls Grange.

WISHING A SPEEDY RECOVERY TO LARS OKESON: Our Treasurer, Lars Okeson, was unable to attend the August Board meeting, because he had been injured in a bicyling accident and was to undergo surgery. His fellow Board members wish him a good and speedy recovery.

PLEASE VOLUNTEER: It doesn't take a lot of time, but the Association needs Board members to see to keeping the common grounds maintained, signing off on architectural reviews, and occasionally standing up for the community's interests. Please consider running for election to the Board for the year October 2004 to October 2005. Contact one of the current Board members to put your name on the ballot. Nominations will also be accepted from the floor at the annual meeting.

AND PLEASE VOTE: If you can't make it to the Grange on Monday evening, the 13th of September, at 7:30 to participate in person at this year's general meeting, please sign the attached proxy and give it to one of the current Board members or to a neighbor who will be coming to the meeting. We need a quorum of at least twenty per cent to make the election valid.

LOCATION: The Great Falls Grange is located near the commercial center of Great Falls, on Old Georgetown Pike (Rt. 193) next to the library and across the street from the Safeway, near the intersection of Old Georgetown Pike and Walker Road. It's a short and easy trip from Ascot.
