Minutes of Board of Directors Meeting -- Monday, May 10, 2004

The Ascot Homeowners Association Board of Directors met at the home of Judy and Mike Lee on the 10th of May, 2004, beginning at 7:15 pm. Present at the meeting were Bob Naftal, Mike Lee, Lars Okeson, and Scott Rackham.

Common Grounds

Because his baseline price was lower, J Mario, the contractor who mowed the common grounds in 2003, was used again for mowing the first three times this year. J Mario's quotation for doing the additional mowing and grounds care that the Board asked about turned out to be higher than the two quotations Alice had obtained from other contractors. For the remainder of this year's mowing season, the Board has contracted with Sunrise Lawn and Landscaping Service.

Terry Burns arranged for the Board to rent a Bobcat tractor early in May and used it to move the brush pile from last fall's common grounds cleanup out away from trees and shrubs into an open area of the lower common grounds area. Mike Lee had obtained a permit from the county Health Department for the Association to burn the debris pile, and was expecting, at the time of this meeting, that he would be able to get a permit from the Fire Department within the next few days.

Lars Okeson has left several phone messages for Andy Robinson, President of the Piney Run homeowners association, trying again to initiate a joint effort to clean up the unsightly fallen trees near Bishopsgate Way on Piney Run common ground along the creek.

Dues for 2004

Lars reported that dues payments for the 2004 assessment had been received for sixty-six of the sixty-nine homes as of May 10th. He noted that two of the final three homeowners had told him payment was on its way, and he expected to reach the last one soon.

Trash Collection Service

Bob Naftal reported that he had initially received signup forms from 32 homeowners for American Disposal's service offer. Some later decided to stay with AAA after learning of AAA's counter offer, but there were still 28 whose name and address Bob passed on to American Disposal. American Disposal has told him they will start collecting trash in Ascot at the beginning of June.

Emergency Preparedness

The Board agreed to invite Anna Wood to attend the June Board meeting to bring us up to date on the progress of her Emergency Preparedness initiative and on the status of Neighborhood Watch in the community.

Use of Web site for Community News and Views

The Board discussed ideas for using our Web site - www.ascotwalk.org - to supplement our monthly minutes with a forum for posting news items and messages of general community interest. Instead of trying to establish an interactive online bulletin board, however, we will ask that homeowners submit their news or notices via email to news@ascotwalk.org. Scott Rackham, as current Secretary and Webmaster, will work to coordinate postings.

Minutes Approved

The minutes for the April meeting of the Board were approved as published.

Next Meeting

Board members will meet in June at the home of Lars and Dunbar Okeson. The June meeting will start at 7:15 pm on Monday, June 7th.

UPDATED INFORMATION:

After the 10 May meeting, Mike Lee did obtain a Fire Department permit for the Association to burn the common grounds debris in a controlled fire. The next step in disposing of the brush pile accumulated from our common grounds clean-up effort will be an authorized and permitted burn to be accomplished one evening when conditions are suitable between 21 and 30 May. The Fire Department will be advised of the specific time before the burn is started. No further notice will be published.
